Options is looking for:
TITLE: Administrative Assistant
DESCRIPTION / SUMMARY:
This position will provide administrative and organizational support to Options' direct service staff, enabling them to efficiently and effectively provide services to people with disabilities. The position will also work with the Executive Director on management of the donor data base and other fundraising tasks. Assistance with low-level Information and Technology and other administrative tasks will also be part of this position.
Experience: Experience using Microsoft products such as Word, Excel, and Outlook. Strong customer service approach, great organizational skills and an eye for detail are a must.

Education: Prefer some post-secondary education.
1.Log information for Fee for Service referrals within appropriate Excel spreadsheet.
2.Generate correspondence acknowledging receipt of referrals based on templates that have been developed by each program.
3.Schedule assessment appointments and other meetings upon direction of staff. This may include reserving agency vehicles and/or reserving a place for meetings to take place.
4.Generate correspondence confirming scheduled appointments and make reminder calls to consumer prior to scheduled appointments.
5.Work with staff to create, review, and revise processes, procedures, templates, etc.
6.General filing and maintenance of program files
7.Assist staff with database entry, faxing consent forms, and other duties as determined.
8.Work with Executive Director in maintaining donor data base, eTapestry.
9.Provide some assistance with Information Technology, e.g. use of Microsoft products, trouble-shooting, etc.
10. Create minutes for meetings of the Board of Directors and its committees.
11. Provide “backup” support to front desk, e.g. phone calls, walk-ins, etc.
